Lead Medical Support Assistant

The Lead MSA monitors and makes work assignments, provides input on performance, resolves daily workplace issues and maintains efficient workflow. Incumbent may be required to provide back-up coverage for lower level positions as needed. Assignments at this level include, but are not limited to:
assuring coverage of all areas of responsibility; conducting quality reviews; ensuring accurate and timely scheduling of appointments; providing guidance to staff; distributing and balancing workload; creating and maintaining employee work schedules; orienting and providing on-the-job training; ensuring all training requirements are met; organizing the work structure of his/her assigned areas; and acting as liaison between MSA and staff. The incumbent will interact with Veterans and/or Veteran's family or caregivers face to face as well as interface with personal computer (PC) applications as well as numerous VistA applications and Microsoft Office programs. Knowledge of VHA Directives for:
VHA Outpatient Scheduling Processes and Procedures. Knowledge of VA regulations, Systems Redesign Principles, local Medical Center Memoranda /policies, and standard operating procedures. Knowledge of eligibility for VA medical care, priorities for care, release of information, Health Information Portability and Accountability Act (HIPAA) laws, and Non-VA Care Coordination Program. Must have knowledge of and be able to provide information about VA revenue cycle and programs to patients regarding insurance data collection and revenue collection. The incumbent must have a solid knowledge of multiple systems and current computer technology regarding imaging applications, PC fax applications, numerous VistA applications, Microsoft Excel, or comparable spreadsheet program, Microsoft Word or comparable word processing program. Skill in compiling readily available data from prescribed sources; knowledge of the organization to search records, files, or electronic data collection systems. Incumbent must possess working knowledge of the clinic processes and services to function and interact with various clinics throughout the hospital. Employee must have knowledge of and ability to apply policies and procedures. The lead MSA must demonstrate technical competency in the use of VistA and CPRS systems. The incumbent provides administrative support to the healthcare team and professional staff throughout outpatient clinics. The incumbent must provide excellent customer service. The lead MSA must have knowledge of quality assurance/performance improvement principles and is responsible for assuring these administrative functions are carried out in the performance of their duties. Persons in this position may be required to conduct individual quality assurance/process improvement studies/checks. The incumbent must be knowledgeable of The Joint Commission requirements specific to his or her job; such as patient's rights, emergency preparedness, information security ethical conduct, and environment of care. Incumbent will be able to identify a joint commission server here and be able to articulate answers to questions they may be asked. The lead MSA will assist staff with a variety of clerical duties in one or more outpatient clinics that provide a variety of medical services. Medical terminology, skill in operating computer systems and applications, such as VistA, CPRS, and Microsoft applications to accurately enter or extract information. Employee performs various administrative functions associated with patient care and treatment in one of several clinics performing a variety of medical services. Work Schedule:

Citizenship. Citizen of the United States. Experience. One year of experience equivalent to the next lower grade level. The responsibilities of the GS-6 level Medical Support Assistant include but are not limited to:
Develop/maintain effective and efficient communication with the patient, interdisciplinary team, VA medical centers, and other agencies. Participate in team huddles and meetings to manage and plan patient care; set priorities and deadlines, adjust workload as necessary. Monitoring pre-appointment requirements to assure readiness for patient visit/procedure. Communicate tactfully and effectively, both orally and in writing. Collaborate, communicate, set priorities, and organize work. Advanced knowledge of managing a clinic. Advanced knowledge of policies and procedures associated with operational activities that affect the patient flow, patient care, and revenue process. Advanced knowledge of medical terminology. Must be able to preform with administrative independence. 1. Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines. 2. Skill in communicating with individuals in order to obtain the desired effect, ensuring compliance with established policies and regulations. 3. Ability to provide staff development and training . 4. Ability to manage staffing requirements, manage priorities, and coordinate work; also, follow-up on pending issues. 5. Ability to review and monitor data to ensure all reports are complete and accurate. Knowledge of Current MSA Practices. To be creditable, the experience must have demonstrated the knowledge, skills, and abilities (KSAs) associated with current MSA responsibilities. Experience satisfying this requirement may be paid/non-paid employment as a MSA. Quality of Experience. Qualifying experience must be at a level comparable to MSA experience at the next lower grade level. For all assignments above the full performance level, the higher level duties must consist of significant scope, administrative independence, complexity (difficulty) and range of variety as described in this standard at the specified grade level. Part-Time Experience. Part-time experience as a MSA is creditable according to its relationship to the full-time workweek. For example, a MSA employed 20 hours a week, or on a 1/2-time basis, would receive 1 full-time workweek of credit for each 2 weeks of service. Grade Determinations:

The check will bounce and the victim is left responsible.
