The University of Tennessee Foundation, Inc.
(UTFI), and the UT Knoxville Office of Alumni Relations is seeking a motivated individual to serve as an Advancement Assistant II.
This position reports to the Executive Director of Alumni Relations and will serve as the primary receptionist and manager for the Tyson Alumni Center.
The Advancement Assistant II will also assist all units housed within the Tyson Alumni Center (currently the Alumni Relations and Annual Giving staffs) as it relates to communication and facility management.
Additionally, this role will serve as office manager for the Tyson Alumni Center through management of the primary phone line, central email account(s), facility management, safety protocol management, and other needs associated with the physical office.
Job Duties:
Serve as the front desk receptionist for the Tyson Alumni Center, including greeting guests and supporting guest needs.
Manage the Tyson Alumni Center's primary communication lines, including the primary phone line and the central alumni email account in partnership with the Advancement Communications and Donor Experience team.
Maintain the Alumni Office Admin account for monthly budget monitoring and ledger reconciliation.
Manage UT Knoxville alumni engagement scoring data.
Serve as approver for Tyson Alumni Center event requests from other campus units and schedule/approve all meeting space requests and oversee reservations for reserved parking spaces for the Tyson Alumni Center.
Assist with onboarding and offboarding of employees.
Oversee schedules for student assistants and coordinate project and task needs from Alumni and Annual Giving staff as needed.
Order general office supplies for Tyson Alumni Center's needs.
Serve as main contact for facilities and housekeeping needs and call/enter requests for repairs and/or needs.
Coordinate resolution of safety issues that arise and work with Emergency Management to coordinate routine safety drills.
Receive and sort incoming mail and manage deliveries.

Qualifications A high school diploma with a minimum of 3-4 years of office experience is required.
Professionalism, organization and excellent written and verbal communication skills are necessary.
Experience using Microsoft Office and working with general public are preferred.
